About The Role

Bell is recruiting an Accommodation Officer to work at our Bell Cambridge School.

This role involves managing our residential accommodation and portfolio of host families to ensure the best possible experience for our students, who come to Bell from all over the world. As part of the Bell Cambridge Student Services Team, you will work at our flagship campus set in beautiful grounds in the south of the city, close to Addenbrookes Hospital.  As the role is customer-facing, it is not suitable for home-working, except in special circumstances.

Main Responsibilities:
  • Manage the capacities of Bell residences to facilitate maximum occupancy
  • Ensure residential availability is up to date and available to relevant Bell staff at all times, and highlight spare capacity or shortage of beds
  • Respond quickly and within the agreed time frames to all accommodation availability queries.
  • Manage booking requests, taking into account availability, student age, gender, dietary and medical requests
  • Place all accepted students into the accommodation requested for the dates specified
  • Issue homestay confirmations to students and families
  • Recruit new host families on an ongoing basis
  • Develop and maintain close working relationships with existing and new homestays, and act as a point of contact for any queries. 
  • Ensure homestays are fully aware of their responsibilities to Bell and Bell students, including safeguarding and welfare commitments to students under 18
  • Undertake regular homestay visits to prospective, new and existing families to ensure they (continue to) meet the quality standards expected by Bell
  • Take a regular turn on the emergency on call rota, assisting with out-of-hours emergencies in the evenings and at weekends (currently 1 week in 5)
  • Arrange airport transfers for inbound and outbound students
  • Liaise with host families and residential staff about all arrivals, departures, and delays to ensure they are ready to welcome the student
  • Work with school staff on any student welfare issues where related to accommodation.
  • Refer any maintenance issues you become aware of to the facilities team.
  • Liaise with the Maintenance Supervisor to ensure cleaning and laundry contractors provide the necessary services. 
  • Report any concerns to the Student Services Manager and follow up as required.
  • Liaise with the finance team to ensure timely host family payments.
  • Update customer fact sheets for all Bell accommodation.
  • Assist the Student Services Manager in reception as required.

About You


  • GCSE Level or equivalent
  • Customer service experience
  • Good IT Skills (Word, Excel, Databases)

  • A-levels, IB, BTEC or above
  • Experience in one or more of the areas below would be beneficial: 
    • Working with young adults from overseas
    • Working in a role managing accommodation for students
    • Managing accommodation in the tourism industry
  • Driving licence and willingness to drive company car
